About The Position

Carlton Senior Living is seeking a dedicated Administrative Assistant to join their team. This role is crucial in supporting the daily operations of the facility, focusing on employee records, resident billing, and providing excellent customer service. Requirements

  • Must be at least eighteen (18) years or older.
  • Strong verbal and written communication skills.
  • Ability to interact effectively with residents, families, and team members.
  • Proficient in basic computer applications such as Microsoft Office, email, and scheduling systems.

Nice To Haves

  • Prior administrative experience preferred but not required.

Responsibilities

  • Maintain and set up file cabinets with employee-related items, payroll folders, and benefit information.
  • Ensure employee information is current and on file at all times.
  • Set up onboarding paperwork and employee files, and purge/maintain old files.
  • Verify that first aid certifications, required licenses, and I-9s are current.
  • Process routine resident billing and respond to general billing questions (bill reprints, tax letters, account inquiries).
  • Triage resident billing inquiries to the appropriate department managers.
  • Locate and attach appropriate files to correspondence.
  • Escalate complex or non-routine billing discrepancies to the Executive Director.
  • Support the preparation and distribution of late payment and collection letters.
  • Assist with collections follow-up as directed.
  • File monthly Long Term Care insurance documents.
  • Provide daily breaks for the Director of First Impressions and serve as a backup.
  • Welcome visitors, family members, clients, or customers and direct them appropriately.
  • Act as a resource and problem solver for residents, guests, family, and staff with a high level of customer service.
  • Answer telephone calls and direct calls.
  • Take accurate messages.
  • Monitor emergency call lights and alarms and respond appropriately.
