About The Position

The Administrative Assistant is responsible for company HRIS data-entry, new-hire paperwork, and employee onboarding. This role involves creating and coordinating the execution of offer letters and employment agreements, managing employee pay plan/compensation updates, and ensuring the completion of employment background checks and licensing. The position also includes inputting new hire and amendment data into the company HRIS and ATS, coordinating new employee onboarding, and following up to ensure its completion. Additionally, the Administrative Assistant will escalate HR, Recruitment, Payroll, and Benefits concerns as needed.

Requirements

  • Saturday availability. This position works Tuesday-Saturday.
  • 1 year of experience working in a highly detailed administrative role.
  • Excellent communication skills (verbal and non-verbal), and interpersonal skills.
  • High learning agility, strong capability for problem-solving, data analytic & decision making and comfortable with ambiguity.
  • Ability to work in a fast-paced environment while exhibiting tact, good judgment, diplomacy, and flexibility.
  • Demonstrates a high degree of confidentiality and tact.
  • Must be computer savvy, experienced and knowledgeable with Microsoft Office suite-Word, Excel, PowerPoint, and Outlook.

Responsibilities

  • Create offer letters and employment agreements as required by hiring managers.
  • Coordinate the execution of offer letters and employment agreements.
  • Create and amend employee pay plans/compensation updates.
  • Coordinate and ensure completion of applicable employment background checks and licensing.
  • Input new hire data and amendments to existing employee data in company HRIS.
  • Input data into company ATS (applicant tracking system) to assist the talent acquisition (recruitment) team.
  • Coordinate new employee onboarding through company HRIS.
  • Follow up with new employees to ensure onboarding completion.
  • Escalate HR, Recruitment, Payroll, and Benefits concerns, as required.
