About The Position

Health Imperatives (HI) is a multi-service organization dedicated to reducing health and wealth disparities while advancing meaningful opportunities and economic security for people south of Boston. Our mission is to improve the health and well-being of low-income or vulnerable families and individuals in Southeastern Massachusetts. The communities we serve, including Brockton, New Bedford, Plymouth, the South Shore, South Coast, Cape Cod, Martha’s Vineyard, and Nantucket, have some of the highest poverty rates and largest wealth gaps in Massachusetts. For nearly 50 years, we have addressed the complex needs of people who are disadvantaged by poverty and discrimination and have fallen through the cracks of mainstream systems of care. Under the direct supervision of the Director of Sexual and Reproductive Health Services, the Administrative Assistant plays a vital role in supporting clinic operations by providing front-office, administrative, and care coordination support.

Requirements

  • High School Diploma or GED
  • strong communication and organizational skills
  • proficiency in Microsoft Office
  • Demonstrated work in a collaborative, team environment
  • flexibility and able to work successfully in a fast-paced, results-oriented environment
  • must have a valid driver’s license, registration
  • ability to lift and carry up to 20 pounds
  • ability to travel as needed in Southeastern Massachusetts

Nice To Haves

  • Experience in medical settings
  • Familiarity with EHR systems
  • Bilingual and/or bicultural a plus

Responsibilities

  • Order medications, vaccines, contraceptive products, medical supplies, and office supplies
  • Reconcile medication packing slips and invoices weekly
  • Communicate with pharmacies and vendors regarding orders
  • Maintain documentation related to medication ordering and storage
  • Submit and track prior authorizations for medications, procedures, and services
  • Verify insurance eligibility and benefits
  • Communicate with insurers, pharmacies, and internal staff regarding status
  • Support patients in understanding insurance-related next steps
  • Process incoming and outgoing medical record requests in compliance with HIPAA
  • Request, scan, and upload outside medical records into the EHR
  • Provide coverage for medical receptionists on an as needed basis
  • Create claims in the absence of a practice manager
  • Maintain accurate and confidential documentation including contract data entry
  • Complete other administrative tasks including scanning, filing, faxing, printing, etc.
  • Other duties as assigned
