About The Position

This role is crucial for maintaining the smooth operation of the academy by supporting staff, parents, and students. The Administrative Assistant plays a key part in daily operations, record-keeping, communication, and event planning, ensuring a positive and efficient environment.

Requirements

  • Child care credentials
  • 2 years’ experience working in a child care center
  • Must be able to work an average of 40 hours per week
  • Must be able to lift no less than 40 pounds

Responsibilities

  • Develops and maintains positive, professional, working relationships with staff.
  • Takes an active role in planning and participating in academy activities (staff meetings, training sessions, open houses, and family/school-wide events).
  • Manages and maintains reports and logs.
  • Accepts all work assignments in the event regularly scheduled personnel are not available.
  • Assists in daily supervision of staff; keeps director apprised with staff concerns and situations needing attention.
  • Completes and submits required paperwork and record-keeping on a timely basis, maintaining an organized, up-to-date manner.
  • Develops and actively maintains positive communication with parents.
  • Assists with new hire on-boarding, including offering new staff orientation and training.
  • Orders paper, office, and classroom supplies.
  • Monitors all topical ointments and permission slips to ensure they meet state and company requirements.
  • Organizes permission slips for field trips.
  • Reviews all children’s daily reports for accuracy, including dietary restrictions and daily pictures.
  • Passes out supplies and deliveries, keeping a record of what is ordered and what was delivered.
  • Answers phones and email in a timely manner while offering the most up-to-date information.
  • Recognizes parent concerns and reports them to the director.
  • Assists with enrollment inquiries, follow-up, and facility tours in order to increase enrollment.
  • Transports children on the school bus as needed.
  • Performs other similar or related duties as necessary.
