About The Position

The Administrative Assistant is responsible for the daily operations of the office including answering a multi-line phone system, greeting guests, completing agency errands, as well as various administrative tasks. The ideal candidate has proven experience as an Administrative Assistant or similar role, strong clerical skills with meticulous attention to detail, ability to multi-task effectively in a fast-paced environment handling multiple phone lines, strong organizational skills with the ability to prioritize tasks efficiently, and a proactive attitude towards problem solving and assisting team members. Must possess and maintain a valid driver’s license, have access to personal transportation and be willing to complete agency errands when needed.

Requirements

  • High school or General Education Degree (GED)
  • Two years of relevant experience in an office environment
  • Strong working knowledge of Microsoft Office programs
  • Proven experience as an Administrative Assistant or similar role
  • Strong clerical skills with meticulous attention to detail
  • Ability to multi-task effectively in a fast-paced environment handling multiple phone lines
  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Proactive attitude towards problem solving and assisting team members
  • Possess and maintain a valid driver’s license
  • Access to personal transportation
  • Willingness to complete agency errands when needed

Responsibilities

  • Serve as the first point of contact for the organization, managing all front-office operations.
  • Welcome and direct visitors while providing excellent customer service.
  • Operate a multi-line phone system to handle and route incoming calls.
  • Maintain a clean and organized reception area.
  • Maintain the agency’s supply inventory by closely monitoring stock levels, anticipating future needs, and placing orders to ensure optimal inventory.
  • Distribute supplies to other agency locations as needed.
  • Handle all incoming and outgoing mail and coordinate deliveries.
  • Prepare and complete daily bank deposits.
  • Process in-kind donations for the organization.
  • Complete the necessary payment forms for processing.
  • Assist staff with various administrative tasks.
  • Assist and support the Director of Administrative Services in overseeing facility operations, including making service calls, performing minor maintenance tasks, and scheduling fire drills.
  • Practice confidentiality over client, employee, donor, and agency information.
  • Perform other duties as assigned.
