About The Position

Omni Hilton Head Oceanfront Resort is seeking an organized and detail-oriented Engineering Administrative Assistant to support the daily administrative operations of our Engineering department. In this role, you will help ensure the smooth coordination of maintenance requests, departmental communication, and documentation while supporting the engineering leadership team. This position plays an important role in maintaining efficient operations by assisting with work orders, scheduling, purchasing, and departmental records. The ideal candidate is highly organized, proactive, and committed to supporting a team that helps maintain the resort’s exceptional standards for safety, functionality, and guest satisfaction.

Requirements

  • Ability to sit or stand for extended periods
  • Ability to lift and carry items up to 20 pounds occasionally
  • Ability to move throughout the resort when coordinating with departments

Responsibilities

  • Provide administrative support to the Director of Engineering and engineering leadership team
  • Manage and track work orders through the property maintenance system to ensure timely completion
  • Maintain organized records, reports, logs, and departmental documentation
  • Assist with scheduling meetings, coordinating projects, and maintaining departmental calendars
  • Prepare reports, spreadsheets, and correspondence as needed
  • Monitor incoming maintenance requests and ensure they are properly logged and assigned
  • Communicate with departments regarding maintenance updates and request status
  • Assist with tracking preventative maintenance schedules and documentation
  • Help coordinate vendor visits and service appointments
  • Assist with ordering engineering supplies, tools, and materials
  • Maintain records of purchases, invoices, and vendor documentation
  • Support inventory tracking for engineering equipment and supplies
  • Coordinate with accounting for purchase orders and invoice processing
  • Serve as a point of contact between engineering and other resort departments
  • Assist with departmental communications and operational updates
  • Support engineering team members with administrative tasks as needed
  • Maintain confidentiality of departmental and company information
