About The Position

The Administrative Assistant role is responsible for providing support to several assigned departments within the organization. This role will interact with all levels of a multi-site organization and is responsible for confidential, time sensitive clerical material and administrative support for assigned department business objectives. This role will answer, assist, and transfer incoming calls, and provide daily support to front desk and reception functions, including assisting callers and greeting in-person visitors (vendors, guests, applicants). The position involves preparing and reviewing assigned memos, forms, letters, tables, minutes, reports, and agendas, and may distribute and administer assigned corporate communications (e.g. condolences, retirement cards, fliers, etc.). The role requires timely and accurate maintenance of assigned subscriptions, memberships, and assigned files. Processing and distributing incoming and outgoing mail (including certified mailings), researching and compiling information for departmental reports, and scanning and reviewing documents for errors and/or missing files are key responsibilities. The Administrative Assistant will also process, reconcile, and maintain petty cash, purchase card transactions, invoices, expense documentation, and assigned departmental records. Maintaining office operations activities, including conference room coordination, office supply administration, refreshment supplies, mail distribution, vendor coordination, and common area readiness, is also part of the role. Support for onboarding activities and coordination of new employee orientation logistics and related administrative tasks are required. Leveraging standardized processes and systems to coordinate meeting and events arrangements; including, but not limited to catering, reservations, notifications, setup and cleanup, is expected. The role provides support to the event planner in coordinating employee engagement activities, recognition, other events, and meetings. Reviewing and updating, as needed, the standard operating procedures for deadline sensitive items and providing assistance and support for other areas as necessary are also included. Demonstrating regular attendance and timeliness in reporting to work, meetings, and completing assignments, and the ability to work and interact well with others are essential. Special projects as assigned will also be performed.

Requirements

  • High School Diploma, or equivalent is required.
  • Minimum of 2 years of experience in clerical, administrative, or other relevant experience, if degreed.
  • Minimum of 4 years of experience in clerical, administrative, or other relevant experience, if non-degreed.
  • Advanced PC skills (Microsoft Excel, Word, Outlook).
  • Demonstrated ability to maintain high level of confidentiality.
  • Intermediate communication skills including written and oral.
  • Advanced organizational, prioritization, and time management skills.
  • Advanced proficiency with spreadsheets, reporting tools, and presentation development.
  • Strong attention to detail and follow-through.
  • Advanced problem-solving and coordination skills.
  • Customer-service mindset.
  • Experience or willingness to learn and leverage, standardized service-desk software for standardized workflows; Jira preferred.
  • Successful completion of pre-hire drug screen and post offer background screen is required to obtain employment.
