The Administrative Assistant supports daily office operations, provides administrative assistance to leadership, and helps execute internal events and special projects. This role is ideal for a highly organized, detail-oriented, resourceful professional looking to build experience in corporate operations and explore how different functions operate. Recent graduates or candidates with limited professional experience are encouraged to apply.

Requirements

  • Associate’s degree or equivalent relevant experience required
  • Reliable personal transportation to occasionally support responsibilities across two offices located 5 minutes apart required
  • 1+ year professional experience preferred
  • Strong organizational and time management skills, and exceptional follow-through
  • Proven accountability and reliability, with the ability to manage competing priorities without missing deadlines
  • Polished, professional communication skills, including strong written correspondence and copy-editing capabilities
  • Proficiency in Microsoft Office
  • Interest in leveraging AI tools to improve the efficiency of administrative workflows
  • Highly meticulous attention to detail

Responsibilities

  • Provide overflow administrative support to senior leaders and their administrative teams
  • Assist with travel coordination, scheduling logistics, and meeting reminders
  • Prepare meeting rooms, materials, and badges
  • Document and maintain administrative processes to support operational efficiency
  • Assist with internal and external events, including catering and room setup
  • Maintain shipping logs and inventory records
  • Maintain storage area inventory and coordinate branded merchandise distribution
  • Manage front desk coverage and visitor experience
  • Coordinate daily executive lunches
  • Support ad hoc administrative requests
  • Conduct research and gather vendor quotes
