About The Position

AtkinsRéalis is participating in the Alto high-speed rail project, connecting Québec City to Toronto, as an experienced partner within the Cadence consortium. The Cadence consortium, comprising CDPQ Infra, AtkinsRéalis, SYSTRA Canada, Keolis Canada, Air Canada, and SNCF Voyageurs, was selected by the Canadian government to develop the project. The company is looking for a passionate and talented Administrative Assistant to help shape the future of high-speed rail in Canada. This role is based in Montréal, QC, with a requirement for on-site presence 5 days per week at the AtkinsRéalis Head Office.

Requirements

  • Proven experience in office coordination or office management within a professional environment.
  • Ability to manage multiple priorities independently and effectively.
  • Strong commitment to delivering exceptional internal customer service.
  • Excellent organizational and problem-solving skills.
  • Ability to thrive in a fast-paced and evolving environment.
  • Proficiency in French and English, both spoken and written.
  • Knowledge of a language other than French, namely English, as the clients and/or suppliers you will interact with are primarily English-speaking and located outside Québec.

Responsibilities

  • Ensure the day-to-day operations of the office run smoothly by maintaining a professional, safe, and efficient work environment.
  • Coordinate workspace planning, workstation setups, and meeting room requirements to support business needs.
  • Act as the primary point of contact for vendors, suppliers, and property management partners.
  • Support employee onboarding, workplace integration, and operational needs for employees and managers.
  • Oversee office access processes, security procedures, and access card management.
  • Develop, document, and improve administrative and operational processes to support project growth.
  • Standardize office practices between Montréal and Toronto and contribute to continuous improvement and governance initiatives.
  • Organize and coordinate a variety of team and office events.
  • Provide general administrative support related to office operations.
