About The Position

The Administrative Assistant is a critical player at the Howard University Institute for Advanced Study (HIAS). This individual executes logistics and acts as a connector between the Director, The Emancipator, HIAS staff and fellows, Howard University staff and faculty, and other internal and external partners. The ideal candidate will share a commitment to HIAS’s mission and will be exceptional in their attention to detail, ability to identify short- and long-term priorities, and adeptness at managing multiple tasks and deadlines at once. They will be an independent self-starter who also enjoys interacting with and contributing to a larger team. The Administrative Assistant reports directly to the Chief of Staff/Associate Director of Research.

Requirements

  • Based in the Washington D.C. metro area
  • Bachelor's Degree
  • Strong attention to detail and accuracy in recordkeeping
  • Demonstrated initiative to work self-directed yet with a collaborative style
  • Strong verbal and written communications skills
  • Compliance

Responsibilities

  • Maintain the Founding Director’s schedule
  • Schedule meetings between internal and external partners
  • Make travel arrangements according to university protocol
  • Correspond with internal and external partners and contacts on behalf of the Director and HIAS in a professional and timely manner
  • Assist in event planning, including identification of and outreach to participants, hosts, and vendors
  • Assist the Chief of Staff/Associate Director of Research in budgetary matters (tracking, invoice and receipt collection, etc.)
  • Provide research assistance and fact-checking as needed
  • Receive training on proper university systems and protocols and comply with that training
  • Attend and assist with day-of needs for public events (occasional travel may be necessary for this role)
