About The Position

The University of Pikeville (UPIKE) is seeking an Administrative Assistant to provide comprehensive administrative, clerical, and logistical support to the Kentucky College of Osteopathic Medicine (KYCOM) Office of Student Affairs and Academic Excellence. This position will support the Associate Dean of Student Affairs and Academic Excellence team, and KYCOM students while helping ensure the efficient day-to-day operation of the office.

Requirements

  • High school diploma or equivalent required
  • Proficiency with standard computer software, office technology, and administrative applications, with the ability and willingness to learn new technologies, systems, and processes.
  • Strong organizational skills with exceptional attention to detail.
  • Strong interpersonal, communication, and customer service skills.
  • Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work independently with minimal supervision while collaborating effectively as part of a team.
  • Demonstrated commitment to confidentiality, discretion, professionalism, and sound judgment.

Nice To Haves

  • Associate degree or higher preferred.
  • Previous administrative experience in higher education, a professional school, or another post-secondary academic environment preferred.

Responsibilities

  • Provide daily administrative and operational support to the Associate Dean and the Office of Student Affairs and Academic Excellence.
  • Process and maintain purchase orders, check requests, expense reports, and student organization budgets.
  • Assist with the planning, preparation, and execution of major KYCOM events, including Orientation, the White Coat Ceremony, Commencement, and other student-focused programs.
  • Coordinate venue reservations, catering, supply orders, and other logistical needs for student organization activities and departmental events.
  • Maintain confidential student and departmental records in accordance with University policies and applicable privacy requirements.
  • Maintain office supplies, submit facility work orders, and manage commonly used administrative forms and documents.
  • Communicate professionally with students, faculty, staff, vendors, and other internal and external stakeholders.
  • Maintain positive working relationships with vendors and campus partners.
  • Operate standard office equipment and utilize computers, multifunction printers/copiers, phone systems, and administrative software.
  • Perform other duties as assigned.
