We are currently seeking a highly organized and proactive Administrative Assistant to support our Dallas headquarters and ensure the seamless execution of our daily business operations. The Administrative Assistant will play a critical role in maintaining the organizational heartbeat of Satcon. This hybrid position requires a blend of in-office coordination and remote administrative support. You will work closely with our leadership and consulting teams to manage schedules, coordinate office logistics, and provide high-level clerical support. We are looking for a professional who is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced consulting environment.

Requirements

  • Experience: 2–5 years of experience in an administrative or office management role, preferably within a professional services or tech-oriented firm.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with cloud-based collaboration tools (Zoom, Slack, Google Workspace).
  • Organizational Ability: Proven track record of managing complex schedules and multi-tasking without sacrificing accuracy.
  • Professionalism: Exceptional verbal and written communication skills with the ability to handle sensitive information with total confidentiality.
  • Education: An Associate’s or Bachelor’s degree is preferred, but substantial professional experience in a similar capacity will be prioritized.

Responsibilities

  • Office Coordination: Manage daily operations at our North Dallas Parkway suite, including mail handling, supply procurement, and maintaining a professional office environment.
  • Scheduling & Calendar Management: Coordinate internal and external meetings, ensuring executive calendars are optimized and conflict-free.
  • Documentation & Reporting: Assist in the preparation of professional reports, memos, and presentations for client-facing engagements.
  • Travel Coordination: Arrange travel logistics for our consulting teams, including flights, accommodations, and itinerary management.
  • Communication Liaison: Serve as a point of contact for vendors and partners, ensuring professional correspondence across all channels.
  • Database Maintenance: Update and maintain internal records, ensuring all corporate documentation is filed accurately and remains easily accessible.
