About The Position

Serve as an onsite Administrative Assistant for AZDES - DBME in Tucson, AZ. This role involves operating a switchboard, managing visitor check-ins, and performing general administrative tasks. You will provide customer service to internal and external clients, handle receptionist duties such as taking messages and providing information, and monitor emergency calls and alarms. Key responsibilities include sorting mail, scheduling consultative examinations for claimants, preparing and mailing exam packets, responding to inquiries about claim status and appointments, and coordinating with various parties to gather necessary documentation and reports. The position requires strong computer skills for data entry, scheduling, and tracking, and involves case development activities that require analysis and judgment. The role is primarily onsite with a potential for hybrid work after training. Local candidates are preferred, and availability for in-person interviews and a start within two weeks of an offer is required. All candidates must pass intensive background and drug screenings.

Responsibilities

  • Operate switchboard: answer, direct, and transfer incoming calls.
  • Manage visitor check-ins and general administrative tasks.
  • Provide customer service to internal and external clients.
  • Perform receptionist duties including taking messages, providing information, and maintaining records.
  • Monitor emergency calls, alarms, and manage paging systems as needed.
  • Sort mail and handle basic administrative support tasks.
  • Schedule consultative examinations (CE) for claimants, including making follow-up calls and coordinating with doctors.
  • Prepare and mail exam packets or fax documents to medical providers as required.
  • Respond to inquiries regarding claim status, appointments, or transportation assistance.
  • Contact claimants, attorneys, medical sources, and hospitals to coordinate paperwork, appointments, authorizations, and reports.
  • Use a tracking system to ensure daily assignments are completed and disseminated.
  • Conduct case development activities that require analysis and judgment.
  • Maintain strong computer skills for daily tasks (data entry, scheduling, tracking).
