About The Position

As an Administrative Assistant for PCL Construction, Inc. in Delhi, Louisiana, you will provide on-site administrative support to project managers, superintendents, and field teams. We are seeking an experienced Administrative Assistant to support construction activities on a large-scale industrial wastewater treatment plant project in Delhi, Louisiana. This is a site-based position, supporting daily field and project operations. The project includes construction of a 4.0 million gallons per day wastewater treatment facility with multiple buildings that will process flows from a newly constructed off-site data center campus. The Administrative Assistant will play a key role in supporting the construction team from project kickoff through closeout by ensuring accurate documentation, coordination, and administrative support.

Requirements

  • 3–5 years of experience in an administrative role supporting a construction or field-based project team
  • High school diploma required
  • Proficient in Microsoft Office, including Outlook, Word, Excel, Teams, PowerPoint, and OneNote
  • Strong organizational skills with high attention to detail and accuracy
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to create, edit, proofread, and format documents and reports
  • Ability to act with discretion and handle confidential information professionally
  • Ability to remain calm under pressure and effectively handle challenging situations
  • Demonstrated ability to develop and maintain effective, professional working relationships
  • Ability to work on-site full-time and support a 6x10 construction schedule

Nice To Haves

  • Experience supporting large-scale construction or industrial projects preferred
  • Associate’s or Bachelor’s degree, diploma, or certificate in Office Administration or a related field considered an asset
  • Strong experience working alongside project managers, subcontractors, vendors, and other stakeholders
  • Proven ability to manage multiple priorities in a fast-paced construction environment
  • Highly skilled in reporting, document control, and coordinating multiple workstreams
  • experience with construction-related systems preferred

Responsibilities

  • Provide on-site administrative support to project managers, superintendents, and field teams, supporting day-to-day construction operations
  • Support project activities from kickoff through closeout, ensuring all documentation is accurate, complete, and properly maintained
  • Manage and maintain project documentation, logs, correspondence, reports, and filing systems in compliance with company and project requirements
  • Ensure appropriate document control by filing, composing, editing, and distributing project and office documents and reports
  • Assist with managing project budgets by tracking costs, invoices, expenses, and supporting cost control and reporting efforts
  • Track project progress and assist with schedule and cost reporting to support project managers and leadership
  • Coordinate project and internal meetings, prepare materials, document action items, and distribute information to stakeholders
  • Support onboarding and offboarding of project personnel, including documentation and coordination with project teams
  • Assist with subcontractor and vendor coordination, communications, and documentation
  • Support timekeeping, payroll documentation, and expense reporting for project staff
  • Answer telephone calls, take messages, and route communications for project managers, departments, or team members
  • Maintain office operations at the project site, including ordering supplies, managing mail distribution, and coordinating courier requests
  • Arrange travel, hotel, and car reservations when required and prepare travel itineraries
  • Greet visitors, answer questions, direct them to meeting locations, and connect them with project personnel as applicable
  • Develop and maintain professional, respectful, and customer-focused working relationships with project managers, subcontractors, vendors, and all project stakeholders
