About The Position

Four Seasons Heating, Air Conditioning, Plumbing & Electric is one of Chicagoland’s most trusted home service providers, serving the community for over 50 years with a strong commitment to customer satisfaction and responsive service. Our team operates 24/7 to ensure customers receive fast, reliable support whenever they need it. We are seeking a highly organized and communication-driven Administrative Assistant to support our fast-paced operations team. This role is ideal for someone who thrives on interacting with people, managing real-time updates, and ensuring smooth coordination between customers and field technicians. This is not a traditional desk-only role. Communication and responsiveness are at the core of everything you’ll do.

Requirements

  • Proficiency in Microsoft Word, Outlook, and Microsoft Teams
  • Strong phone presence and excellent verbal communication skills
  • Comfortable handling high call volume and multitasking in real time
  • Strong written communication skills (email and messaging)
  • Highly organized with strong attention to detail
  • Ability to prioritize and manage multiple tasks simultaneously
  • Team-oriented mindset with a proactive approach to problem-solving

Nice To Haves

  • Previous experience in customer service or administrative support
  • Experience in a service-based or HVAC/plumbing/electrical environment (a plus, not required)

Responsibilities

  • Serve as a primary point of contact for incoming calls, emails, and internal communications
  • Provide real-time support to field technicians and service teams
  • Schedule, update, and manage service tickets in a fast-paced environment
  • Communicate with customers regarding appointments, updates, and service inquiries
  • Coordinate between customers and field employees to ensure timely service delivery
  • Monitor and respond to emails and internal messaging platforms (e.g., MS Teams)
  • Maintain accurate records and documentation of customer interactions
  • Assist with general administrative and operational tasks as needed
