About The Position

Homeward Trust is now accepting resumes for an Administrative Assistant position through the Canada Summer Jobs program. Homeward Trust is seeking a detail-oriented and motivated individual to join our IT and Administration teams as a full-time Administrative Assistant for a 10-week placement (35 hours per week). The successful candidate will provide day-to-day administrative support across the IT and Administration departments with some technical support in the IT department. Key responsibilities include managing documentation, data entry, providing technical support to staff, and help maintain company equipment and tracking.

Requirements

  • Currently enrolled in a second or third year, or recently completed a program in Information Technology, Business Administration, or related program at a recognized post-secondary institution.
  • Candidates must be between 15 and 30 years of age at the start of employment.
  • Must be a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada.
  • Must have a valid Social Insurance Number (SIN).
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • High attention to detail and accuracy, especially when handling sensitive or confidential information.
  • Excellent interpersonal skills, with the ability to interact professionally and respectfully with diverse individuals in-person, over the phone, and via email.
  • Proven ability to work independently with minimal supervision, as well as collaboratively within a team.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Demonstrated professionalism and discretion in working with sensitive matters or organizational protocols.

Nice To Haves

  • Previous administrative, office, or co-op/internship experience is an asset but not required.
  • Interest in the non-profit or public service sector is considered an asset.
  • Related experience in an IT role is an asset
  • Some related experience in an administrative role supporting departments is an asset
  • Experience with document management tools and digital signatures is an asset.
  • Willingness to learn, take initiative, and adapt to changing priorities.

Responsibilities

  • Organize meetings, appointments, and conference room bookings.
  • Drafting, proofreading, and sending emails, letters and internal communications
  • Filing, scanning, organizing digital and physical documents
  • Maintaining databases, updating spreadsheets, ensuring accurate records.
  • Ordering office supplies, coordinating repairs or preparing reports, presentations, and meeting materials
  • Greeting visitors, answering and directing phone calls, managing reception area
  • Ensuring sensitive information is handled securely
  • Assist with troubleshooting hardware, software and network issues
  • Provide basic help desk support to staff (password resets, device setup, connectivity issues)
  • Install, configure and update computers and software
  • Help maintain network equipment, cabling, and infrastructure under supervision
  • Monitor system performance and report issues to IT staff
  • Assist with user account creation, permission updates and system access
  • Perform routine maintenance on computers, printers, and other devices
  • Track and update IT inventory (laptops, components, accessories)
  • Help prepare equipment for new hires or system replacements
  • Follow company security policies
  • Assist with IT projects such as system upgrades and security audits
  • Document procedures, create simple user instruction
