About The Position

The Salvation Army is seeking an Administrative Assistant to provide general administrative support for day-to-day operations. This role is funded through the Canada Summer Jobs program and requires applicants to meet specific eligibility criteria, including age and legal status. The position involves preparing correspondence, responding to inquiries, managing mail, photocopying, scanning, filing, and maintaining office supplies. The work environment is typically in an office setting, though occasional travel and interaction with difficult clientele may occur. This is a temporary full-time position.

Requirements

  • Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
  • Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion.
  • Completion of high school diploma or equivalent.
  • Up to 1 year of related secretarial, administrative, or customer service experience is required.
  • Working basic knowledge of Office365 is required.
  • Good oral and written communication skills.
  • Ability to maintain a high level of confidentiality.
  • Good decision-making and organizational skills.
  • Attention to detail.
  • Ability to multi-task and prioritize responsibilities (i.e., good judgment).
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Able to work cooperatively in a team setting.
  • Ability to lift/move weights of up to 20 lbs. occasionally.
  • Applicants must meet program eligibility requirements for Canada Summer Jobs, including age and legal status criteria. Individuals who require employer-specific work authorization (e.g., international students on study permits) are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.

Responsibilities

  • Prepare correspondence, reports, statements, forms, applications, and other documents.
  • Respond to telephone, in-person, or electronic inquiries or forward them to the appropriate person.
  • Process incoming and outgoing mail, manually or electronically.
  • Photocopy and collate documents for distribution, mailing, and filing.
  • Send and receive messages and documents using fax machine or electronic mail.
  • Maintain inventory of office supplies, order supplies as required, and arrange for servicing of office equipment.
  • Assist in preparing meeting agendas, attend meetings, and record minutes.
  • Assist with administrative procedures within the MU or department.
  • May sort, process, and verify receipts, expenditures, forms, and other documents.
  • May organize the flow of work for other office support workers.
  • Scan, sort, and file documents according to established guidelines.
  • May perform basic bookkeeping tasks such as preparing invoices and bank deposits.
  • Assist with other related administrative tasks when required.
  • Perform other work-related duties as assigned.
