About The Position

The Administrative Assistant provides direct administrative support to the leadership team at QISG. QISG leverages Quanta’s comprehensive resources to deliver collaborative solutions for our partners' energy infrastructure needs. We use in-house talent, expertise and resources to plan, design, engineer, manage, conduct maintenance on and construct projects. Our turnkey service capabilities provide our customers with efficiency, consistency, attention to detail and safe execution. The QISG team brings together Engineering, Safety, Quality, Material Procurement, QA/QC, Right-of-Way Acquisition, Scheduling, Environmental Planning, Permitting, Title and Land Management expertise that ensure outstanding results for our clients.

Requirements

  • High School diploma, or equivalent
  • 3+ years' experience in an administrative support role
  • Ability to influence and communicate effectively with other team members
  • Strong problem evaluation/solving skills
  • Strong team building skills
  • Strong organizational and time management skills
  • Strong communication skills (verbal and written)
  • Strong computer skills (Microsoft Office)

Responsibilities

  • Answers and transfers incoming phone calls, screening when necessary
  • Welcomes and directs visitors and clients
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
  • Responds to and resolves administrative inquiries and questions
  • Assists with the coordination and planning of company events and meetings
  • Maintains office supplies inventory; anticipates supplies needs; places and expedites supply orders and verifies receipts
  • Maintains conference rooms, kitchen, and other meeting rooms
  • Coordinates visitor and/or new hire seating
  • Retrieves and distributes office mail; sends outgoing mail and prepares fed-ex packages
  • Adheres to internal standards, policies, and procedures
  • Performs special projects and completes other duties as assigned or requested
  • Send, receive, and pick up mail/packages from the Post Office, UPS, FedEx, etc.
  • Distribute mail and packages to the intended recipient
  • Order and refill Supplies in the breakroom/office (Coffee items, Water, Snacks, Office supplies)
  • Replace HR posters as they get updated/delivered
  • Help with onboarding new hires by distributing swag and performing the I-9 verification
  • Maintain the AED machine in the office and complete monthly checks
  • Maintenance and upkeep of the office space
  • Report any repair needs to the supervisor
  • Assist with arranging repair service from property management
  • Conference room scheduling
  • Assist with catering food as needed
  • Perform special projects and complete other duties as assigned or requested
