About The Position

This part-time position provides administrative and operational support to the Parks Division. The role assists with day-to-day functions by coordinating work order activities, supporting basic budget tracking, and monitoring departmental expenses. The Administrative Assistant serves as a key point of coordination for internal processes, helping ensure efficient operations. The ideal candidate is organized, proactive, and demonstrates strong communication and administrative skills.

Requirements

  • High School Diploma or equivalent
  • At least one (1) year of experience in an administrative, budgeting, or similar role
  • Proficiency in or ability to become proficient in the City’s work order management system
  • Strong organizational skills and attention to detail
  • Excellent written and oral communication skills
  • Ability to work independently and as part of a team
  • Ability to multitask and prioritize tasks effectively
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Basic understanding of budgeting principles

Responsibilities

  • Act as a liaison to our work order management system.
  • Receive and process work orders, ensuring accurate and timely entries.
  • Collaborate with relevant departments to gather necessary information for work order completion.
  • Monitor and update the status of work orders regularly.
  • Assist in the creation and maintenance of budgets for various projects and divisions.
  • Track expenses against budget allocations.
  • Generate reports to provide insights into budgetary performance.
  • Work closely with team members to ensure adherence to budget guidelines.
  • Record and reconcile expenses accurately and in a timely manner.
  • Verify receipts and documentation to ensure compliance with City policies.
  • Assist in the preparation of expense reports for review and approval.
  • Address any discrepancies or issues related to expenses.
  • Provide general administrative support to the team as needed.
  • Assist in scheduling meetings, preparing documents, and managing correspondence.
  • Maintain organized and up-to-date records related to work orders, budgets, and expenses.
