About The Position

Be the first point of contact for clients and help us provide exceptional service at Columbia Laboratories, a Tentamus North America company, in Portland, Oregon! We are seeking an organized and people-oriented Administrative Assistant who can manage client interactions with professionalism, support laboratory operations, and contribute to the smooth running of our Administration Department. Requirements

  • Authorized to work in the United States indefinitely without restriction or sponsorship.
  • Possess a combination of strong communication, organization, and computer skills.
  • Attention to detail, desire to learn, and a strong work ethic.
  • High School Diploma or GED Required.
  • Must be 21 years or older due to regulatory requirements.
  • Ability to lift 20 – 30 pounds.
  • Ability to work both independently and within a team.
  • Self-motivated, adaptable, with a positive attitude.
  • Flexibility to perform duties in other areas if needed.
  • Must have or be able to obtain OLCC cannabis workers permit upon hire.

Nice To Haves

  • Minimum 6 – 12 months' experience in an office or lab setting preferred.
  • Background in chemistry or environmental project management is a plus.
  • Spanish fluency is a plus.
  • Experience with Chain of Custody, invoicing, and using a multi-line phone system.
  • Experience with LIMS, Word, Excel, and Outlook is a plus.

Responsibilities

  • Guiding clients through sample submission and bottle request forms with a professional demeanor.
  • Handling shipments of samples and supplies.
  • Logging projects in the Laboratory Information Management System (LIMS) and state/federal databases.
  • Managing a multi-line IP phone system and performing data entry with accuracy.
  • Filing and scanning documents, monitoring storage units, and maintaining a clean work area.
  • Troubleshooting issues, meeting deadlines, and upholding high-quality data standards.
  • Other duties as assigned.
