About The Position

The Administrative Assistant supporting Maintenance and Document Control will be an integral part of the day-to-day operations of the Maintenance group and will support strategic document improvement initiatives. This role requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced, evolving environment. The successful candidate must be able to meet physical requirements. These include sitting for long periods of time, standing for long periods of time, and using a step ladder to reach heights. The assignment will require concentration and the ability to read/type data accurately, as any variation in numbers or text can result in improper payment on filing.

Requirements

  • High school diploma or GED is required.
  • Ability to thrive in a fast-paced, ever-changing work scope that requires independent thinking, problem-solving, and a high degree of flexibility.
  • Tact, diplomacy, and the ability to recognize and protect confidential information are elements of the job.
  • Demonstrate proficiency in Microsoft Office applications, with particular emphasis on MS Word and Excel.

Nice To Haves

  • A two-year Technical or associate’s degree in office studies, business management, or a related field is preferred.
  • Experience with SmartPlant Foundation is a plus.

Responsibilities

  • Provide administrative support to the Maintenance Leader, including assistance with activities, initiatives, project support, document creation and updates, and contributing to a welcoming work environment.
  • Process maintenance and other designated critical plant invoices in accordance with established procurement guidelines and processes.
  • Support document control activities by organizing and managing equipment documentation stored across multiple network locations.
  • Evaluating existing files and identifying obsolete versions
  • Renaming and organizing current files
  • Updating Metadata and tracking information in Excel
  • Populating load sheets in Excel
  • Scanning physical documents
  • Uploading files to SmartPlant Foundation and performing related administrative tasks
  • Demonstrate proficiency in Microsoft Office applications, with particular emphasis on MS Word and Excel.
  • Coordinate a variety of site activities as needed, including meeting coordination, town hall video connectivity, food ordering, and information distribution via email lists and web-based platforms.
  • Operate independently, take initiative and manage multiple priorities effectively.
  • Good communication skills with the ability to interface well with a wide variety of people.
  • Maintain a positive, open-minded approach to learning.
  • Handle confidential information with discretion, professionalism, and maturity.
  • Professional work ethic with the ability to have fun at work.
  • Serve as a point of contact for selecting departmental activities as needed; this includes, but is not limited to, meals/luncheons, large projects/meetings, and receptionist duties such as greeting visitors and escorting them into and out of the site when needed.
