About The Position

The Administrative Assistance performs a variety of clerical, recordkeeping, customer service tasks to assist with the efficient operation within the assigned department. This position plays a crucial role in effective communication and organizational efficiency. This is a Part-Time Position.

Requirements

  • High school diploma or equivalent
  • Valid Driver’s license in state of residency with acceptable driving record
  • Must be able to pass a pre-employment drug test and submit to the company random drug and alcohol program
  • Proficiency in basic computer skills including Microsoft Office applications specifically Excel, Google Workspace, and 10 key
  • Basic understanding of clerical and administrative procedures
  • Excellent written and verbal communication skills
  • Excellent organizational and time management skills
  • Ability to solve problems as they arise
  • Discretion when handling sensitive information

Responsibilities

  • Answer phones and greet public and coworkers in a professional manner
  • Perform assigned duties independently, proactively identifying and implementing solutions
  • Maintain filing systems; retrieve information from records, emails, meeting minutes, and other documents; prepare written summaries as needed
  • Respond to and resolve administrative inquiries and questions
  • Support the overall mission of the assigned facility
  • Manage day-to-day paperwork flow in the office
  • Handle incoming and outgoing mail
  • Responsible for record-keeping and employee data tracking
  • Assists human resources, recruiting and driver pay departments in daily operations
  • Conduct research and analysis to provide valuable insights for strategic decision-making
  • Work closely with cross-functional teams to address any data-related issues and continuously improve data management processes
  • Support management in assigned projects
  • Execute precise and efficient data entry tasks within the Human Resources Information System (HRIS)
  • Maintains confidentiality ensuring compliance with data protection and confidentiality laws
  • Employ attention to detail in recording and updating information in relevant systems
  • Assist in planning and executing events
  • Coordinate meetings and appointments and if applicable manage calendars for executives
  • Arrange travel plans and accommodations
  • Manage office supplies and inventory
  • Responsible for the certification of drug and alcohol collection procedures
  • Perform other related duties as assigned by management
