We are looking for an Administrative Assistant to join our Commercial Lines team on a Hybrid work schedule. SUMMARY OF RESPONSIBILITIES : We are looking for a detail-oriented and proactive Executive Assistant to support our Operations team in Fall River, MA. This role is integral to keeping day-to-day operations running smoothly, providing administrative, data, and project support across a fast-paced insurance environment.

Requirements

  • Prior experience in a professional office environment required
  • Proficiency in Microsoft Office Suite
  • Strong attention to detail with the ability to manage multiple priorities simultaneously
  • Excellent organizational, interpersonal, and written/verbal communication skills
  • Ability to work effectively both independently and within a team

Responsibilities

  • Schedule and coordinate appointments, meetings, and team logistics
  • Prepare agendas, take meeting notes, and distribute action items following meetings
  • Coordinate travel arrangements for leadership as needed
  • Draft and proofread internal communications and memos
  • Prepare, analyze, and maintain spreadsheets and reports
  • Pull and distribute recurring operational reports
  • Maintain electronic filing systems, document version control, and SharePoint/Teams site content
  • Assist with the design and production of marketing materials
  • Support data cleanup initiatives in coordination with the operations support team
  • Maintain Power of Attorney records for Registry Support
  • Assist with processing invoices, expense reports, and vendor correspondence
  • Support new employee onboarding processes
  • Perform other duties as assigned by management
