About The Position

We are seeking a dependable Administrative Assistant to join our team. This position is primarily responsible for front office functions (25%) and supporting our accounting activities (75%). The Administrative Assistant performs general front desk duties including greeting visitors, answering and directing phone calls, managing mail and deliveries. This role also supports daily financial operations by handling accounts payable, maintaining accurate records, and assisting with reporting and administrative tasks to ensure efficient and financial processes. This is an onsite, full-time position, located in our Liberty Lake, WA facility. Salary: $21 per hour. Schedule is Mon-Thur 7:30a - 4:30p, Friday 7:30a-11:30a

Requirements

  • One (1) year of administrative or accounting support experience.
  • Basic knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and organizational skills.
  • Good communication and problem-solving abilities.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Nice To Haves

  • Basic knowledge of accounts payable and accounts receivable processes preferred.
  • Experience with accounting or ERP systems (e.g. QuickBooks, SAP, or similar) preferred.

Responsibilities

  • Greet and assist visitors, ensuring a professional and welcoming front office environment.
  • Answer, screen, and route incoming phone calls and respond to general inquiries.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain front desk organization and coordinate visitor check-in procedures.
  • Support accounts payable processes by entering invoices, matching purchase orders, and verifying documentation.
  • Assist with accounts receivable tasks, including invoicing customers and tracking payments.
  • Maintain accurate financial and administrative records, both digital and physical
  • Assist with data entry, filing, and document organization to support accounting operations.
  • Reconcile vendor statements and help resolve billing discrepancies as needed
  • Assist with month-end closing tasks, including data entry and reporting
  • Coordinate with internal teams, vendors, and customers to support timely and accurate financial processing.
  • Coordinate travel arrangements for visiting staff, including booking lodging, transportation, and preparing itineraries as needed.
  • Perform general administrative duties including data entry, scheduling, and document preparation.
  • Assist with various other projects and tasks as needed to support management team.
  • Perform additional responsibilities and contribute to team objectives as assigned.
