The Administrative Assistant at the Corporate Office will provide general reception for Midrex HQ and administrative support to Human Resources and other teams as necessary. Requirements

  • High school diploma or equivalent
  • At least 2-3 years of relevant administrative or office support experience
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong problem-solving skills and the ability to independently resolve routine issues while knowing when to escalate concerns.
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate.
  • Ability to maintain confidentiality at the highest level.
  • Ability to organize and coordinate work assignments.
  • Advanced Microsoft Office Suite experience.
  • Excellent interpersonal skills and ability to interface with all levels of employees.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Reliability, punctuality, and consistent attendance are essential to ensuring a positive experience for visitors, employees, and other stakeholders.

Nice To Haves

  • Associate degree/ post high school education
  • 3-5 years of experience in office administration and/or general HR support
  • Skilled in coordinating and supporting employee programs.
  • Skilled at working with HRIS, learning management systems, expense reporting systems or employee engagement platforms.

Responsibilities

  • Serve as the first point of contact for the corporate office during normal business hours, providing prompt and professional assistance to employees, visitors, and external contacts.
  • Welcome visitors in a friendly and professional manner, ensuring a positive first impression and notifying employees of their arrival.
  • Answer and direct incoming telephone calls, screening inquiries and routing calls to the appropriate individuals or departments.
  • Support workplace security efforts by maintaining visitor logs, issuing and tracking visitor badges, and following established access procedures.
  • Provide backup support to the Administrative Coordinator by assisting with the receipt, distribution, and shipment of mail and packages.
  • Act as a liaison between the corporate office and the property management company, communicating facility-related needs and assisting with issue resolution.
  • Maintain inventory levels for corporate office supplies, replenish stock as needed, and coordinate the purchase of specialty items requested by various departments.
  • Assist with the preparation, submission, and processing of expense reports and pre-approval requests, ensuring timely and accurate completion.
  • Serve as the primary administrator for the company’s sporting ticket program, coordinating ticket distribution and ensuring a positive teammate experience.
  • Support the charitable contributions program, facilitating teammate and organizational giving initiatives.
  • Serve as the primary administrator of the employee recognition program, coordinating recognition activities and helping foster a culture of appreciation and employee engagement.
  • Serve as the primary administrator of the care team program, assisting with teammate outreach and support initiatives.
  • Support new hire orientation and onboarding processes, including coordinating business card orders, assigning required training, and ensuring a seamless transition for new employees.
  • Prepare, update, and distribute a variety of professional correspondence, reports, presentations, and teammate communications to support departmental and organizational objectives.
