About The Position

The Administrative Assistant will work in a multi-office setting with responsibility for reporting to each space daily. This position is 100% in person. This role supports the Environmental Services team and site leadership by supporting staff in staying organized, and assisting new hires during in-processing. Duties may include tracking facility management and contractor maintenance/housekeeping training documentation for the team, logging daily time approval for 25+ employees, and overseeing shared calendars and conference room scheduling. This position may also assist in creating spreadsheets and reports for managers or government personnel, keeping office supplies stocked, and entering, modifying, and verifying door group access in the Lenel system as approved by the Facilities Management office. Must be able to pass a government background check and comply with all required government/installation training.

Requirements

  • Excellent written and verbal communication skills.
  • Experience with various forms of office software and equipment; able to write reports and presentations.
  • Able to work with budgets and create spreadsheets.
  • Microsoft Office Suite experience a must.
  • Good interpersonal skills.
  • Must be comfortable sharing workspace with other team members.
  • Must have strong customer service skills, as this role communicates internally and externally with government personnel and subcontractors.
  • Able to work with staff and vendors across multiple and varying crafts.
  • Must be able to speak and understand the English language.
  • Must be able to read, write, and follow directions in the English language.
  • Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must be able to pass a government background check.
  • Must be able to obtain and maintain any base/installation access credentials required by the location.
  • Must be able to work in a sitting position for 8 or more hours per day.
  • Must be able to lift up to 10 pounds on a regular basis and up to 50 pounds as needed.
  • Must be able to travel to job locations by automobile and/or commercial airline.

Nice To Haves

  • Preferred three (3) years of experience in a medical facility operations or maintenance capacity.
  • Preferred experience with Joint Commission (formerly JCAHO), NFPA, OSHA, and EPA codes and standards.
  • Willing to work a flexible schedule with some weekend work required.

Responsibilities

  • Support staff in staying organized and assist new hires during in-processing.
  • Track facility management and contractor maintenance/housekeeping training documentation for the team.
  • Log daily time approval for 25+ employees.
  • Oversee shared calendars to reflect commitments and schedule conference room availability.
  • Assist in creating spreadsheets and reports for managers or government workers.
  • Assist in keeping office supplies stocked, including ordering inventory when needed.
  • Enter, modify, and verify proper operation of door groups in the Lenel system as approved by the Facilities Management office.
  • Maintain records; receive, prepare, and verify documents.
  • Search for and compile information and data.
  • Respond to routine requests with standard answers, by phone, in person, or by correspondence.
  • Perform other routine office support work (e.g., typing, filing, or operating a keyboard-controlled data entry device to transcribe data into a form suitable for data processing).
  • Code and file documents in an extensive alphabetical filing system.
  • Post simple amounts to customer accounts.
  • Other duties as assigned.
