About The Position

The Administrative Assistant/Receptionist is responsible for coordinating patient flow, greeting patients, ensuring they are registered and have completed new patient packets. This role involves scanning pertinent documents, verifying insurance coverage, setting appointments, collecting copays and balances, and optimizing patient satisfaction. The assistant will keep appointments on schedule by notifying providers of patient arrivals, comfort patients by anticipating anxieties and answering questions, and maintain a clean and organized reception area. Responsibilities also include maintaining patient accounts with updated personal and financial information, recording and collecting patient charges, responding to emergencies, and maintaining the confidentiality of patient information. The role requires adherence to policies and procedures, reporting needed changes, and the ability to handle multiple duties simultaneously. The employee is responsible for protecting the physician's license, maintaining confidentiality of all information, and staying in compliance with Medicare, Medicaid, OSHA, HIPAA, OIG, and other legal/contractual obligations.

Requirements

  • Proficiency in scheduling/rescheduling appointments using Medinformatix Software
  • Ability to collect copays and balances
  • Ability to ensure proper distribution of receipts
  • Ability to scan documents appropriately
  • Ability to maintain patient accounts with accurate demographics and insurance(s)
  • Maintain patient confidentiality
  • Ability to complete end of day reports accurately
  • Ability to submit deposits daily
  • Ability to manage Petty Cash accurately
  • Ability to ensure adequate change is available
  • Protect the physician's license
  • Maintain confidential any and all information accessible while performing job duties
  • Stay in compliance with Medicare, Medicaid, OSHA, HIPAA, OIG, and any other legal and/or contractual obligations
  • Handle a multitude of duties at the same time

Responsibilities

  • Set and reschedule appointments using Medinformatix Software
  • Collect copays and balances, ensuring proper distribution of receipts
  • Maintain patient accounts with current and accurate demographic and insurance information
  • Maintain patient confidentiality
  • Complete end-of-day reports accurately
  • Submit deposits daily
  • Ensure Petty Cash is accurate on a daily basis
  • Ensure adequate change is available at all times
  • Protect the physician's license
  • Maintain confidentiality of all accessible information
  • Stay in compliance with Medicare, Medicaid, OSHA, HIPAA, OIG, and any other legal and/or contractual obligations
  • Anticipate patient needs and comfort them by providing updated information
  • Maintain the reception area in a clean and organized manner
  • Other duties as assigned
