About The Position

To work as an Administrative Assistant for General Affairs. Requirements

  • GED/ or High School Diploma
  • computer literacy a plus (AS-400, Access, Excel, Word)

Responsibilities

  • Daily data control, invoices, scheduling of job requests, man-hour time entry, receiving, monthly reports, material procurement, trend charting, monitoring prices (in/out), exhibiting safe work practices. THM, Good Housekeeping Practices
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management.
  • Answer calls from customers regarding their inquiries.
  • Perform data entry and scan documents.
  • Prepare and modify documents including reports, invoices, issues request.
  • Schedule and coordinate meetings with leaders.
  • Maintain office supplies for department.
  • Provide professional administrative support to internal and external clients.
  • Prepare weekly reports (PMs, Log and Invoice Log).
  • Support in special projects as needed.
  • Prepare monthly reports and distribute charge expenses to all divisions, making sure that the charges made in the month are carried out properly.
  • After receiving via email, physically assign the work order number to the work order, correctly add it into the system, and make sure to distribute to correspond leader.
  • Order material as per the leader's request and adds in to our program issue request to follow up.
  • Tracking of inbound freight to ensure the on-time arrival of products, via email, phone, and internet.
  • Data entry and file maintenance (WO tracking comments, issue requests, time sheets, and more as needed).
  • Provide additional support for the team as requested.
  • Reviewing/answering emails.
  • Every day, proactive participation in implementing new ways of working at GA.
  • Report to the supervisor, having meetings once a week to provide and develop a high-quality administration service to both internal and external clients.
  • Assist the team by transferring knowledge and using the skills gained from training.
  • Support negotiation of pricing and review received invoices.
  • Support the Supervisor in creating and presenting new ways and reports to maintain the business expectations.
  • Monitor invoicing reports to ensure smooth payment on time to ensure the job has been completed.
  • Annual and weekly safety training, refresher computer training, computer skills training.
