About The Position

Community Living Sarnia-Lambton (CLSL) is currently seeking a Part-Time Administrative Assistant to support our front desk and administrative operations. This position is mainly responsible for providing coverage and general administrative support at various CLSL locations. Flexibility to travel between locations may be required based on operational needs. The position reports to the Executive Assistant or designate.

Requirements

  • Strong computer and technology skills required, including Microsoft Office.
  • Excellent verbal and written communication skills.
  • Strong organization, multitasking, customer service, and problem-solving skills.
  • Ability to work independently and as part of a team.
  • A criminal record and vulnerable sector check are required.

Nice To Haves

  • A minimum two-year college diploma in business administration, office administration, or a related field is preferred.
  • Previous experience in reception, office administration, customer service, or cash handling preferred.
  • Experience working within a nonprofit or community support environment is considered an asset.
  • Experience working with people with developmental/intellectual disabilities is considered an asset.
  • Bilingualism in French/English is considered an asset.
  • Valid Driver’s License and reliable transportation preferred due to travel between locations.

Responsibilities

  • Provide reception and front desk coverage at various CLSL locations as scheduled.
  • Welcome visitors, staff, families, contractors, and community members in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls and emails.
  • Manage visitor sign-in procedures and maintain building security protocols.
  • Receive and distribute mail, deliveries, and courier packages.
  • Maintain a clean, organized, and professional reception and office area.
  • Provide administrative support to departments, programs, supervisors, committees, and management teams.
  • Assist with filing, scanning, photocopying, document preparation, data entry, and scheduling.
  • Support meeting preparation, room bookings, and administrative coordination.
  • Assist with maintaining accurate records, spreadsheets, and office documentation.
  • Support registration processes for agency events, training sessions, and programs.
  • Receive and process program payments, fees, and transactions as assigned.
  • Maintain accurate cash handling and balancing procedures following CLSL policies and procedures.
  • Support petty cash tracking, receipt collection, and payment documentation.
  • Assist with basic financial record keeping and administrative tracking.
  • Monitor and maintain office and program supply inventory.
  • Assist with ordering, receiving, organizing, and distributing office supplies and materials.
  • Report maintenance concerns, office equipment issues, and supply needs to management.
  • Ensure office equipment and reception areas remain organized and functional.
  • Provide coverage for front desk for CLSL operations
  • This is a 20-hour-per-week position.
  • Occasionally, up to 40 hours per week to cover vacation or sick leave.
  • Support changing operational needs with flexibility and professionalism.
  • Travel between CLSL locations as required.
