About The Position

Under limited supervision, the Administrative Assistant provides administrative and clerical support for the Health Center. This role involves preparing various documents, maintaining filing systems, assisting with invoice payments, supporting meetings by scheduling and taking minutes, reviewing attendance and timekeeping records, and assisting with facility staffing schedules. The position requires professionalism and a commitment to resident satisfaction as a representative and team member of the company.

Requirements

  • High School diploma or equivalent.
  • Some college coursework or vocational school courses emphasizing clerical skills including transcribing, alphabetizing, filing, word processing, spreadsheets, tables and scheduling.
  • At least one year of clerical experience, or any equivalent combination of training and experience which provides the required skills, knowledge and abilities.
  • Advanced computer proficiency, including experience using multiple software applications, electronic record systems, Microsoft Office, and web-based platforms.
  • Exceptional internal and external communication skills including reading, writing and conversing in English.
  • Decision making and problem solving skills.
  • Effective verbal and listening skills.
  • Excellent time management skills.
  • Experience in Social Media Management.

Responsibilities

  • Act as a liaison between department Supervisors and Residents for coordination of services.
  • Prepare letters of correspondence, memorandums, reports, forms, etc.
  • Send out notices for meetings.
  • Create agendas, prepare minutes, and distribute reports and materials for various meetings as required, using appropriate software.
  • Maintain confidentiality of information in conformance with HIPAA regulations.
  • Assist with maintaining records.
  • Support the Staff Developer in verifying and tracking team member licenses, certifications, CPR credentials, Orientation, skills fair participation and other Educational requirements.
  • Support the Scheduler in creating monthly work schedules for the nursing department, including taking scheduling requests and calling team members to fill vacant positions.
  • Organize and manage an administrative filing system to maintain federal and state regulations and other required administrative documents.
  • Assist with administrative audits, databases, and spreadsheets using appropriate software for quality improvement projects.
  • Maintain confidentiality as required.
  • Perform related essential duties as required.
  • Concur Card Management.
  • Resident Communications - Cubigo, Social Media Management.
  • Customer Service.
  • Board Communication and Meeting Presentation Prep.
  • Collaborate with Departments for Events Management.
  • Support daily operations of the health center by providing coverage and back up for the activities department, work with the onsite beautician, cover concierge desk, and interact with residents daily.
  • Assist with the process of Invoice payments; obtain W-9 and submit invoices for payment in papersave. May assist with other financial needs.
