About The Position

This role provides essential daily administrative support for the company's office and warehouse operations. The Administrative Assistant will be responsible for a wide range of tasks including document management, vendor coordination, financial administration, and compliance support. The ideal candidate will be detail-oriented, possess strong communication skills, and be proficient in Microsoft Office. Bilingual proficiency in English and Mandarin Chinese is a requirement for this position.

Requirements

  • Bilingual in English and Mandarin Chinese is required.
  • Must be able to communicate independently in English by email and phone with vendors and service providers, and effectively coordinate with internal Chinese-speaking teams.
  • Proficient in Microsoft Office and able to organize spreadsheets, manage documents, follow up on emails, and handle basic data entry and tracking.
  • Detail-oriented, responsible, and able to manage multiple tasks while maintaining clear records and follow-up progress.
  • Strong communication and coordination skills, with the ability to work effectively with internal teams, warehouse managers, vendors, property management, and external service providers.

Nice To Haves

  • Associate degree or above preferred; experience in administration, office management, operations support, warehouse administration, or a related field is preferred.
  • Experience with U.S. company administration, warehouse operations, logistics, property management, or vendor management is preferred.

Responsibilities

  • Provide daily administrative support for the company, including office and warehouse administrative follow-up, document organization, filing, email communication, and cross-department coordination.
  • Assist with daily office and warehouse operational support, including internet, utilities, access control, office equipment, office supplies, and basic warehouse supplies.
  • Communicate with and manage vendors and service providers, including property management, landlords, insurance providers, internet providers, cleaning, security, fire safety, maintenance, and repair services; follow up on quotes, contracts, and service progress.
  • Assist with bills, invoices, payments, and administrative document management, including rent, utilities, service fees, contracts, insurance documents, license/permit documents, property notices, and related filing.
  • Assist with business licenses, registrations, permits, and other compliance-related documents for offices and warehouses; maintain administrative trackers, including vendor lists, contract expiration reminders, license/permit renewal records, payment records, and asset/equipment records.
  • Complete other administrative support tasks as assigned.
