About The Position

The University of Iowa Center for Advancement (UICA) seeks an administrative assistant within our Health Sciences Development department. This position provides support to our Health Care Philanthropy team. This position will join a team focused on advancing fundraising efforts with patients and families. This position is eligible for hybrid work (telecommuting) which includes working on-site at our office in Iowa City.

Requirements

  • HS diploma + 3 years administrative experience
  • associate’s degree + 1 year administrative experience
  • bachelor’s degree

Responsibilities

  • Creates, updates and modifies prospect plans in BGI at the direction of the advancement officer or prospect management; understands internal and external controls and regulations on the use of donor information; provides reminders and follow up for advancement officers related to prospect plans
  • Enters contact reports for advancement officer and may summarize information provided by advancement officer
  • Provides reminders or processes basic stewardship items for advancement officers for timely execution; enters interaction reports for stewardship items; offers ideas for unique stewardship; conducts thank you calls for specific donors
  • Makes hotel, airline, and/or rental car reservations for out of town travel; prepares for meetings by providing address, directions, BGI profile, and other logistical information to the advancement officer; may complete expense reimbursement or corporate card reconciliation on behalf of the advancement officer
  • Produces basic meeting materials at the direction of the advancement officer (updating or producing PowerPoint presentations, handouts, etc.)
  • Provides calendaring support at the direction of the advancement officer
  • Executes established internal processes (SOGI, work requests, donor accounts, etc.); understands the underlying process and knows how to leverage others in the process when necessary
  • Uses available information to answer questions from UICA colleagues, external constituencies and/or donors; understands information resources and can research information independently to find answers
  • Executes event logistics (invitations, RSVPs, gifts, etc.) using templates and instructions; provides logistical support at the event (set up, tear down, registration table, etc.); enters/updates interaction reports for events
  • Submits requests for information from data management; runs basic, established queries; reviews information for accuracy and provides basic formatting
