About The Position

Consolidated Pipe & Supply is a full-line supplier, fabricator, and manufacturer of pipe, valve, and fitting products and services for natural gas, waterworks, energy, and industrial sectors. Our company is looking for an administrative assistant to support the sales teams by expediting materials and completing weekly reports.

Requirements

• General understanding of accounting or finance principles
• Good working knowledge of MS Office applications (e.g. Excel, Word, Outlook)
• Have the confidence to escalate and ask questions
• Ability to perform at high levels in a fast-paced, ever-changing work environment and adapt to changing priorities and work demands
• Strong organizational skills

Responsibilities

• Monitor and print invoices from email, distribute as necessary to other sites, and process invoices for company check run schedule.
• Identify incorrect charges, verify, and create appropriate adjustments within the system.
• Respond to vendor payment status inquiries.
• Scan & upload daily vendor invoices.
• Help with invoicing customers.
• Filing A/P: Vendor invoices, PODs, BOLs, packing slips, MTRs, credits, freight bills
• Assist Sales Staff with customer inquiries concerning documentation.
• Match shipping paperwork for customer’s invoices, sent by corporate.
• Assist with inventory reconciliations in excel for outside yards.
• Vendor Credit
• Maintain and replenish site office supplies.
• Scanning MTRs into the system
• Will be backup for the Accounting Specialist
