About The Position

An Administrative Assistant at Viewpoint Medical Assessment Services Inc. (Viewpoint) provides administrative support across the organization. This role involves managing communication channels, such as phone calls and emails, and ensuring all responsibilities are completed accurately, delivered with high quality, and in a timely manner. The ideal candidate is a flexible team player who supports the administrative management of the organization related to client assessment services. This position requires someone who is service-oriented, reliable, and possesses the ability to prioritize and multitask. Excellent organizational skills and close attention to detail are essential. Strong computer skills, including proficiency in Microsoft applications, web-based tracking systems, the Internet, and Adobe Acrobat, are highly valued. Excellent verbal and written communication skills, complemented by a strong command of the English language, are also necessary. Occasional evening and weekend shifts may be required, with advance notice provided whenever possible.

Requirements

  • Relevant post-secondary/community college education
  • 3 years’ experience working in a client service or administrative position, ideally within the insurance/health care environment
  • Proficient computer efficiency (Microsoft Office, Outlook, Internet, Adobe Acrobat)
  • Solid and effective verbal and written communication skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure

Responsibilities

  • Complete reminder calls as per our service level agreement with our customers to confirm examinees’ attendance to upcoming assessments.
  • Reception coverage including greeting assessors, examinees, and visitors, ensuring prompt check-in, notifying assessors, and completing all appropriate service forms and photo ID checks.
  • Maintain a clean and organized front reception area.
  • Notify all appropriate parties of changes to appointments and schedules.
  • Provide support to staff and management, including handling correspondence and preparing/sending letters/packages.
  • Answer phone calls promptly in a professional and welcoming manner, redirecting calls, monitoring holds, and transferring callers to voicemail.
  • Acquire appropriate knowledge of facility and procedures to direct calls and provide information on general inquiries.
  • Maintain the highest level of privacy of personal information and personal health information.
  • Manage incoming and outgoing mail and couriers.
  • Act as a medical Chaperone.
  • Order and maintain office supplies and inventory.
  • Schedule transportation and interpretation services for examinees.
  • Perform data entry.
  • Perform scanning, printing, and photocopying.
  • Accurately create and prepare patient medical charts and documentation.
  • Maintain accurate and organized filing systems (electronic and paper).
  • Attend team and departmental meetings.
  • Perform cross-functional responsibilities as assigned or requested, and perform other duties related to the job classification as required.
