About The Position

The Administrative Assistant will be responsible for a variety of tasks including accounts payable, budget monitoring, data entry, program outreach support, general administrative duties, and risk management functions. This role requires strong organizational skills, proficiency in Microsoft Office, and the ability to manage multiple tasks effectively. The position involves direct interaction with vendors, program staff, and foster parents, and requires adherence to all agency policies and regulatory guidelines.

Requirements

  • High School Diploma or Equivalent
  • Proficient in Microsoft Office Suites
  • Ability to work beyond regular schedule for program outreach, crisis situations, or declared agency emergencies.
  • Ability to comply with all policies, procedures, and requirements.

Responsibilities

  • Manage accounts payable processes including tracking purchase orders, processing invoices, and reconciling petty cash.
  • Monitor budget line item balances and assist in budget preparation and reporting.
  • Maintain tracking systems for employee and foster parent training, foster parent inquiries, and donations.
  • Distribute foster parent training materials.
  • Assist with coordination of recruitment and program outreach events.
  • Prepare materials for pre-service sessions and assist with licensing packets.
  • Perform general office clerical duties such as answering phones, sorting mail, typing, filing, copying, and faxing.
  • Order, monitor, and ensure availability of office supplies and equipment.
  • Assist program staff with organizing activities and tracking expenses.
  • Perform PQI functions and participate in safety inspections.
  • Communicate program issues to the Program Director.
  • Complete all required trainings and comply with agency policies and procedures.
