About The Position

The James City County Parks & Recreation Department seeks an enthusiastic individual with great leadership and customer service skills. Performs responsible administrative and technical work processing incoming and outgoing mail and packages and delivering mail and packages to County and school buildings and supporting the daily operation needs of staff, customers and all Parks & Recreation Divisions. There are three levels of Administrative Assistant distinguished by the level of work performed and the qualifications of the employee. Administrative Assistant I: $37,479 - $57,752 Administrative Assistant II: $40,022 - $61,823 Administrative Assistant III: $42,758 - $66,196

Requirements

  • Any combination of education and experience equivalent to a high school diploma; and some experience in general administrative and clerical work.
  • Must possess, or be able to obtain within 30 days of hire, a valid Virginia driver’s license and have an acceptable driving record based on James City County’s criteria.
  • Knowledge of the principles and practices of excellent customer service to include the ability to establish and maintain effective working relationships with employees and the public.
  • Skill in handling multiple priorities and organizing workload; sorting mail with accuracy and speed, operating mail office equipment and making simple mathematical computations.
  • Knowledge and skill in use of computers and software, Microsoft Office Suite preferred.
  • Ability to maintain and secure confidential materials; communicate effectively both orally and in writing.

Responsibilities

  • Manages the mail courier services including the pick-up, delivery and sorting of intra-agency correspondence, U.S. mail, shipment packages, flyers and brochures to Department sites, public/private businesses and schools within the County.
  • Manages the pick-up and delivery of daily deposit bags to and from multiple locations and daily bank deposits.
  • Conducts vehicle inspections, operational safety checks and coordinates with supervisor and Fleet and Equipment staff to schedule routine and non-routine maintenance and cleaning of vehicles.
  • Assists with other administrative departmental functions including but not limited to completing correspondences/reports/meeting minutes, data entry, records retention, manual and electronic filing, research and analysis and purchasing related to the budget, accounting, strategic planning, accreditation, marketing, communications, tourism, volunteerism and operation of Legacy Hall and customer service relating to greeting and directing visitors and office and phone coverage as needed.
  • Performs other duties as assigned.
