About The Position

As a growing and dynamic firm, MLT Aikins is interested in hearing from qualified administrative assistant applicants for their Winnipeg office. This position will be responsible for providing administrative and clerical support in the Winnipeg office, working closely with the Office Services Team. The ideal candidate is self-motivated, highly organized, has strong computer and time management skills, and excellent interpersonal and communication skills. The successful candidate must be able to work independently and follow instructions with minimum supervision and be able to thrive in a fast-paced, professional team environment. The hours for this position are between 9 am to 5 pm, Monday to Friday.

Requirements

  • Graduate of a recognized administrative assistant program (equivalencies will be considered)
  • Minimum of two years of experience in an office services, hospitality or business center role.
  • Excellent communication, problem-solving and analytical skills
  • Ability to maintain an efficient electronic file system with exceptional attention to detail
  • Demonstrated initiative to work with minimal supervision and in a team setting
  • Ability to adapt and thrive in a fast paced environment
  • Strong computer skills including Word, Excel and Outlook and Adobe
  • Physical mobility for requirements of mail and document production

Responsibilities

  • Performing administrative tasks such as binding, tabbing, copying, scanning, opening and closing files.
  • Organizing, processing and distributing incoming and outgoing mail throughout the office.
  • Coordinating inbound and outbound courier shipments and tracking deliveries as required.
  • Maintaining up-to-date guidebooks, manuals and other reference materials related to the role.
  • Preparing, organizing and coordinating marketing support materials and promotional supplies to ensure timely availability for events, campaigns and internal initiatives.
  • Supporting office and workstation moves by preparing workspaces and assisting with supply and equipment setup.
  • Providing backup coverage for the Mail Clerk and Receptionist during absences as needed, including flexibility to adjust work hours or work overtime when necessary.
  • Assisting with general team support during breaks or staff absences as needed.
