About The Position

Our client is seeking an administrative assistant to work in a collaborative and fast-paced environment. This role will play an important part in helping the projects and finance team. Our client is seeking a candidate that is flexible, adaptable, detail-oriented, and enjoys supporting the team to achieve shared goals.

Requirements

  • Experience in an administrative role.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to multitask, adapt to change, and strive for continuous learning.
  • Ability to act with discretion when handling confidential information.
  • Ability to effectively handle difficult situations and remain calm under pressure.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents/presentations.
  • Ability to learn and adapt to new software environments.
  • Intermediate to Advanced skills in Word, Outlook, Teams, PowerPoint, Excel, PDF applications, and OneNote.

Nice To Haves

  • Associate or bachelor’s degree preferred, diploma or certificate in office administration program preferred.

Responsibilities

  • Supporting day-to-day operations by performing administrative tasks for managers, departments, or teams.
  • Data entry, document creation, document filing, communications both internally and externally.
  • Updates company systems
  • Enter and maintain client and contact information.
  • Developing and maintaining customer-focused relationships with all stakeholders.
  • Answering main phone line and routing messages, supporting mail & courier requests. Routing general company inquiries received.
  • Registering on and maintaining vendor portals.
  • Ensuring appropriate document control and compliance through filing, composing, and editing documents and reports.
  • Assist in preparation for trade shows.
  • Arranging travel reservations for executives.
  • Preparing office set-up for new hires, greeting new staff upon arrival, and participating in their general company orientation.
  • Greeting visitors and answering their questions, directing them to meeting rooms, and connecting them with employees.
  • Accounts Receivable responsibilities include communications with clients and internal staff, writing off unpaid interest, holding recurring A/R review meetings, account analysis as needed by internal and external clients.
  • General Office Management responsibilities including facilities management, vendor selection and management, ordering office supplies, office equipment management.
