As an Administrative Assistant, you will play a critical role managing a wide range of general office and administrative functions. This position will also play a key role in identifying and recommending process improvements to enhance overall office efficiency.

Requirements

  • High school diploma or equivalent required.
  • Minimum of four (4) years of general business or administrative office experience.
  • Ability to successfully pass a typing test of at least 40 words per minute.
  • Ability to read, write, and print legibly.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills with the ability to prioritize tasks.
  • Demonstrated attention to detail and accuracy.
  • Ability to multitask effectively in a fast-paced environment.
  • Proficiency with commonly used office software, including Microsoft Office (Word, Excel, Outlook).
  • Strong interpersonal skills with a professional and courteous demeanor.
  • Optimistic, enthusiastic, and able to work constructively and cooperatively with others.

Responsibilities

  • Perform assigned administrative and office support tasks accurately and in a timely manner.
  • Respond professionally and appropriately to incoming phone calls, emails, and correspondence.
  • Communicate effectively and courteously with patients, vendors, customers, and CDL employees at all levels.
  • Manage scheduling and calendar coordination for company.
  • Draft, review, and distribute communications on behalf of company.
  • Organize and prepare materials for meetings, including gathering documents, coordinating logistics, and attending meetings as needed.
  • Oversees end-to-end management meeting logistics, including location coordination, room scheduling, catering agreements, and sending out communications to management team.
  • Prioritize executive emails and respond or route messages appropriately.
  • Assists with onboarding travel arrangements, including itineraries and related documents.
  • Maintain executive records, files, and documents in an organized and confidential manner.
  • Receives, sorts and distributes incoming mail and packages to appropriate personnel in a timely manner.
  • Prepares outgoing mail and shipments, as needed, ensuring accurate delivery
  • Orders, tracks, and maintains office supply inventory
  • Operate desktop computers and office software proficiently to support daily operations.
  • Recommend and support process improvements to enhance general office efficiency and effectiveness.
