About The Position

As an Administrative Assistant at Linwood Court in Victoria, you will play a key role in supporting the daily operations of our seniors’ rental community while creating a warm, welcoming environment for residents, families, and visitors. As an Administrative Assistant, you will provide essential administrative and operational support to the Administrator and the broader team. You will be the first point of contact for many residents, families, and guests, ensuring every interaction is handled with professionalism, warmth, and respect. Your responsibilities will include managing office processes, coordinating communications, and supporting financial and reporting functions. You will also assist with resident inquiries, tours for prospective residents, and general office coordination to ensure smooth day-to-day operations. Through your attention to detail and strong organizational skills, you help maintain accurate records and ensure administrative processes run efficiently. Your ability to build positive relationships contributes to a supportive and inclusive community where residents feel valued and respected.

Requirements

  • High school diploma required
  • 1–2 years of experience in an administrative, receptionist, or customer service role preferred
  • Strong organizational, communication, and time-management skills
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams; PowerPoint considered an asset)
  • Comfortable using standard office equipment (printers, scanners, etc.)
  • Strong attention to detail and ability to maintain confidentiality

Nice To Haves

  • post-secondary education in Business Administration considered an asset
  • Experience working with seniors or in a community setting is an asset

Responsibilities

  • Provide administrative support including document preparation, filing, and record management
  • Manage reception duties, including answering phones, responding to emails, and greeting visitors
  • Prepare correspondence, reports, invoices, and meeting materials
  • Coordinate meetings, bookings, and office logistics
  • Support accounts payable processing and administrative reporting
  • Maintain confidentiality and accuracy in all records and financial documentation
  • Assist with tours for prospective residents and families
  • Promote a safe, respectful, and inclusive environment
  • Participate in team meetings and community activities
