About The Position

The Administrative Assistant is responsible for providing essential administrative and clerical support for the CLASS office by ensuring the smooth daily operation of the Center. Serving as the primary first point of contact for students, faculty, and external partners, this role requires exceptional professional demeanor, high-level organizational skills, and a commitment to student confidentiality and success. The Administrative Assistant directly supports the professional staff in all functions related to disability accommodation and student success services. This is a full time fixed term 6 month position.

Requirements

  • Associate’s degree and at least three years of experience, or an equivalent combination of education and related experience.
  • Exceptional attention to detail.
  • Excellent written and verbal skills and ability to interact effectively with students, faculty, staff, families, and other campus constituents
  • Proficiency in calendar management
  • Ability to handle sensitive information in a confidential manner
  • Proficiency in Microsoft Office, Google platform applications (e.g., Mail, Calendar, and Drive), and other relevant software
  • High degree of self-motivation
  • Strong ability to anticipate office needs, plan ahead, and to proactively and strategically meet those needs in a timely manner
  • Ability to follow-up on all projects and tasks until successful completion
  • Excellent interpersonal, communication, and time management skills
  • Ability to present and display professional demeanor at all times
  • Ability to remain calm under pressure when engaging with distressed students, parents, faculty members, and others.

Nice To Haves

  • Bachelor’s degree.
  • Experience in a non-profit or academic environment.
  • Knowledge of disability laws and best practices (ADA and Section 504).

Responsibilities

  • Greets and assists all visitors, determines their needs, and directs them accordingly, providing accurate and professional responses to general inquiries. Responds in a pleasant and professional manner.
  • Answers and monitors phone calls and email accounts as needed, providing accurate and professional responses to general inquiries regarding CLASS policies, processes, services, and appointments.
  • Manages the secure collection, processing, and electronic filing of sensitive incoming student disability documentation, ensuring strict adherence to FERPA and other confidentiality protocols.
  • Performs calm and empathic triage as needed for urgent student and faculty needs.
  • Tracks, orders, and maintains office materials and supplies assuring inventory is available.
  • Assists with planning, organizing, and executing departmental and sponsored events and assumes responsibility for extra departmental or University needs, as required.
  • Maintains calendars for professional staff, accurately scheduling meetings and appointments, and aligning schedules of internal and external meeting participants.
  • Provides management support for the CLASS peer tutoring program, as needed.
  • Oversee the secure transfer, inventory, and coordination of testing materials between faculty and the CLASS Testing Center, ensuring the integrity of the process.
  • Assists as needed in test proctoring under the direction of the Testing Center Manager.
  • Performs other related duties as assigned.
  • Assists in providing training, work direction, and problem-solving assistance for graduate student workers and new employees.
  • Adheres to all relevant office standards regarding confidentiality. Monitors self and the adherence of others to appropriate standards.
  • Provides input in policy and procedures development specifically related to office procedures.
