About The Position

French Consulting is seeking an Administrative Assistant to support the Human Performance Optimization (HPO) office at Moody Air Force Base, Georgia. This role serves as a program assistant to the Director of Human Performance, the Wing Surgeon, and the Command Psychologist. The successful candidate will be responsible for transforming raw data into clear reports, managing schedules and suspenses, and ensuring effective communication between patients and relevant personnel. This position is ideal for someone who takes pride in producing polished documents, sharp spreadsheets, and providing exceptional customer service, making a visible difference in the organization.

Requirements

  • High school diploma, with expertise demonstrated through a combination of education and experience.
  • At least twelve (12) months of experience in a program assistance or management support role within the past twenty-four (24) months.
  • Advanced skill in PowerPoint, Excel, and Word, including editing, developing, and reformatting complex formats such as graphics, tables within text, and updating spreadsheets.
  • Fully capable of collecting, compiling, editing, analyzing, and presenting data.
  • Fully capable of developing and editing lengthy, complicated reports that may require multiple software formats.
  • Knowledgeable in developing, implementing, interpreting, and tracking surveys and critiques over the short and long term.
  • Able to serve as technical assistant and advisor to working groups preparing presentations for annual PM conferences, with strong teamwork, software, and oral communication skills.
  • Able to compose correspondence from draft to final version, electronic and hard copy, using correct English grammar, spelling, punctuation, capitalization, and format.
  • Proficient with standard office equipment and office automation systems; knowledge of general medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • Able to complete 93 AGOW in-processing, DoD and Air Force computer-based training, and newcomer’s orientation.
  • Able to complete and maintain a Tier 1 (T1) background investigation, including fingerprinting and an electronic application (eApp) at least 15 days before the start date.
  • Able to read, write, speak, and understand English; Antiterrorism Level 1 training required within 30 days of base access.

Responsibilities

  • Collect data from multiple sources and compile it for review and interpretation, including program data such as TJC, the AED PAD Program, and Infection Control Coordinator (ICC) items.
  • Analyze data for short- and long-term trends and provide statistical insight to the Director of Human Performance, Wing Surgeon, and Command Psychologist to refine programs and shape conference agendas.
  • Create and maintain TOPT testing data, selection portfolios, and digital records of results in coordination with the Command Psychologist.
  • Develop and distribute critiques and surveys to gather feedback from customers, users, annual conference attendees, and field offices.
  • Compose, proofread, edit, and track documents and complex reports, which may span multiple software formats, for procedural and grammatical accuracy, policy conformance, and factual correctness.
  • Develop presentations and briefing charts, and build and tabulate spreadsheets.
  • Assist working groups in planning and preparing projects, with technical help on software, data collection, and presentation methods.
  • Work with leadership to determine the format, content, and supporting documentation needed to meet higher headquarters and DoD requirements.
  • Establish, monitor, and manage suspense dates and flag scheduling conflicts.
  • Serve as the program office contact responsible for receipt, control, logging, and safekeeping of program-related sensitive materials.
  • Answer the main office phone line, direct calls to the right section, and take messages.
  • Maintain accurate patient schedules and logs and arrange appointments.
  • Use GENESIS tools (detail codes, freezing slots, TRICARE Online) to manage appointment slots, rescheduling, and cancellations.
  • Determine patient eligibility, relay general instructions, and make referrals to other sections.
  • Call patients to schedule, reschedule, or cancel appointments, and promote consult and referral care within the HPO.
