About The Position

This role provides comprehensive administrative support to physicians, nurse practitioners, and departmental leadership. Key responsibilities include managing prior authorizations for pain management procedures and medications, assisting with Quality Improvement (QI) projects, and providing general administrative support such as maintaining patient records and scheduling appointments. The position requires strong organizational skills, attention to detail, and the ability to work both independently and as part of a team in a fast-paced healthcare environment.

Requirements

  • Prior healthcare administrative experience required, preferably in a hospital, pain management, or specialty practice setting.
  • Strong knowledge of prior authorization processes, insurance guidelines, and payer-specific requirements.
  • Familiarity with quality improvement initiatives, healthcare compliance standards, and clinical workflows.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with Electronic Medical Record (EMR) systems and healthcare technology platforms.
  • Excellent verbal and written communication skills with the ability to interact professionally with patients, providers, and multidisciplinary teams.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and adapt to changing departmental needs.
  • Ability to work independently with minimal supervision while also collaborating effectively as part of a team.
  • Strong problem-solving skills and the ability to exercise sound judgment in a fast-paced healthcare environment.

Responsibilities

  • Prepare and submit prior authorization requests for pain management procedures and medications.
  • Communicate with insurance providers to ensure timely approvals.
  • Track and follow up on pending authorizations.
  • Assist in data collection and analysis for ongoing QI initiatives.
  • Support documentation and reporting for compliance and performance metrics.
  • Collaborate with clinical staff to identify areas for process improvement.
  • Maintain accurate patient records and documentation.
  • Schedule, coordinate, and reschedule patient appointments, follow-up visits, consultations, and procedures while ensuring efficient provider schedules and optimal patient flow.
  • Coordinate provider calendars and assist with coverage arrangements during vacations, leave, or other absences.
