About The Position

Under the general supervision of the Director, the Administrative Assistant will assist in all administrative/clerical tasks at the center. This role involves interacting with and greeting center members and guests, supporting all programming, and assisting with home delivery meal services. The position also includes answering telephones, recruiting and coordinating volunteers and interns, performing general office duties, and managing maintenance tickets through the NYCHA portal. Additionally, the role involves accepting lunch deliveries, assisting with meal service and cleanup, collecting and recording contributions, fundraising activities, and petty cash. The Administrative Assistant will support the Director in counting money for breakfast, lunch, fundraising, and making deposits, as well as coordinating special programs and events. This role also involves coordinating with community agencies for various services, participating in internal subcommittees, assisting with communications (fliers, newsletters, bulletin boards), conducting client registration, creating membership ID cards, assisting with fundraising activities and documentation, collecting and recording attendance and meal data, maintaining a monthly recreational log, creating purchase orders, and assisting with Information & Referral. Other duties as required by the Director and organization.

Requirements

  • High School graduate or equivalent.
  • Specialized training or skills in recreational activities or two years of experience in a community, group work, or teacher environment.
  • CPR/AED certification preferred (must be obtained within 6 months of hire).
  • Food Handler certification preferred (must be obtained within 6 months of hire).
  • Some knowledge of and a genuine concern for the physical, mental, and emotional needs of older persons.
  • Computer skills required, with ability to learn database maintenance.
  • Ability to read, write, and speak English.
  • Ability to work independently.

  • Ability to understand the concepts of institutional and structural racism and bias and their impact on underserved and underrepresented communities.

Responsibilities

  • Assist in all administrative/clerical tasks at the center.

  • Recruit, supervise, and coordinate activities of volunteer workers, interns, and others who perform essential daily functions at the center.
  • Perform general duties to include, but not limited to, photocopying, faxing, mailing, and filing.
  • Create, maintain, and follow up with maintenance tickets through the NYCHA portal.
  • Accept lunch deliveries, assist with meal service, and clean up afterwards.
  • Perform collecting, recording, and daily records of contributions, fundraising activities, and petty cash.
  • Support the Director weekly in counting DFTA Breakfast, Lunch, Fundraising money, and deposits.
  • Help to coordinate special programs and events.
  • Coordinate with community agencies to provide legal, public, mental health, social, and other educational/recreational courses at the center.
  • Participate in various internal Older Adult Center subcommittees (menu committee/fundraising, etc.).
  • Assist with fliers, newsletters, bulletin boards, etc.
  • Conduct client registration and create new membership ID cards.
  • Assist with fundraising activities, including receipts and spreadsheets.
  • Assist with documentation and input into the program database.
  • Collect and record daily records for attendance and congregate meals and maintain database.
  • Maintain monthly recreational log.
  • Assist with and maintain all required documentation of the fundraising receipts and expenses.
  • Create Purchase orders for supply needs through our Yardi system.
  • Assist with Information & Referral.
  • Plan and/or lead recreational/educational trips or events.
  • Perform other duties as required by the Director and organization.
