About The Position

The Onsite Administrative Assistant provides day-to-day administrative, resident, and operational support for the condominium association from an office located within the community. The Administrative Assistant works closely with the Onsite Community Manager to help manage the daily operations of the community, respond to resident needs, coordinate vendors and maintenance activities, maintain records, and ensure that issues are followed up on in a timely manner. This position serves as an important extension of the Community Manager and provides additional onsite support to help ensure the community is well maintained, residents receive responsive service, and administrative responsibilities are completed efficiently.

Responsibilities

  • Support the Onsite Community Manager by working closely with them on daily operations, assisting with administrative and operational tasks, prioritizing and tracking requests, providing backup, assisting with follow-up on action items, maintaining their calendar, and preparing for meetings and events.
  • Provide Resident and Owner Services by serving as a first point of contact, responding to routine resident questions, maintaining a log of resident requests, assisting residents with association procedures and needs, and communicating updates.
  • Assist with Community Operations by monitoring common areas, reporting issues, coordinating vendor access, scheduling maintenance, tracking vendor work orders, assisting with property inspections, and maintaining records of maintenance activities.
  • Provide Administrative Support by maintaining organized records, monitoring office communications, preparing and distributing community notices, maintaining calendars, processing invoices and forms, maintaining office supplies, performing data entry, and maintaining confidentiality.
  • Support Board and Association by assisting with meeting preparation, compiling reports and documentation, tracking action items, communicating information, and supporting the implementation of Board decisions.
