About The Position

Hanson Professional Services Inc. is seeking a dynamic, detail-oriented individual to fill a full-time Administrative Assistant position in our Springfield, Illinois headquarters. This role interacts with staff across the organization and helps create an efficient, welcoming, and collaborative workplace environment.

Requirements

  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams
  • Ability to learn and utilize company software systems and document management platforms
  • Ability to prioritize and manage multiple assignments while meeting deadlines
  • Ability to maintain confidential information and exercise sound judgment
  • Strong proofreading and document formatting skills
  • High school diploma or equivalent required

Nice To Haves

  • Proficiency with Adobe Acrobat and related business software preferred
  • Associate degree in business administration, office management, or a related field preferred
  • Minimum of three years of administrative support, office coordination, executive support, or related professional experience preferred
  • Experience within an engineering, consulting, professional services, or corporate environment is a plus
  • Strong interpersonal and customer service skills
  • Ability to build effective relationships with employees, clients, and vendors
  • Must be team-oriented and willing to undertake both routine and complex assignments
  • Self-motivated with a desire to learn new skills and continuously improve
  • Ability to work independently while collaborating effectively with colleagues throughout the organization
  • Demonstrated professionalism, reliability, and accountability

Responsibilities

  • Supporting managers and project teams with administrative functions
  • Coordinating meetings and schedules
  • Preparing reports and correspondence
  • Managing office operations
  • Processing invoices and expense reports
  • Assisting with onboarding activities
  • Providing exceptional customer service to employees and visitors
  • Answering and directing telephone calls and responding to routine inquiries
  • Greeting visitors, clients, and vendors in a professional manner
  • Coordinating meetings, calendars, conference rooms, and travel arrangements
  • Preparing and formatting correspondence, reports, presentations, and other business documents
  • Maintaining electronic and physical filing systems and company records
  • Assisting with onboarding and orientation activities for new employees
  • Coordinating office supplies, vendor services, and facility-related requests
  • Supporting project teams with document preparation, meeting coordination, and project record maintenance
  • Assisting with company meetings, employee events, training sessions, and special projects
  • Managing office calendars, contact databases, and distribution lists
  • Supporting leadership and staff with administrative requests and other duties as assigned
