About The Position

Hanson Professional Services Inc. is seeking a dynamic, detail-oriented individual to fill a full-time Administrative Assistant position in our Springfield, Illinois headquarters. This role interacts with staff across the organization and helps create an efficient, welcoming, and collaborative workplace environment.

Requirements

  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Ability to learn and utilize company software systems and document management platforms.
  • Ability to prioritize and manage multiple assignments while meeting deadlines.
  • Ability to maintain confidential information and exercise sound judgment.
  • Strong proofreading and document formatting skills.
  • High school diploma or equivalent required.
  • Strong interpersonal and customer service skills.
  • Ability to build effective relationships with employees, clients, and vendors.
  • Must be team-oriented and willing to undertake both routine and complex assignments.
  • Self-motivated with a desire to learn new skills and continuously improve.
  • Ability to work independently while collaborating effectively with colleagues throughout the organization.
  • Demonstrated professionalism, reliability, and accountability.

Nice To Haves

  • Proficiency with Adobe Acrobat and related business software preferred.
  • Associate degree in business administration, office management, or a related field preferred.
  • Minimum of three years of administrative support, office coordination, executive support, or related professional experience preferred.
  • Experience within an engineering, consulting, professional services, or corporate environment is a plus.

Responsibilities

  • Answering and directing telephone calls and responding to routine inquiries.
  • Greeting visitors, clients, and vendors in a professional manner.
  • Coordinating meetings, calendars, conference rooms, and travel arrangements.
  • Preparing and formatting correspondence, reports, presentations, and other business documents.
  • Maintaining electronic and physical filing systems and company records.
  • Assisting with onboarding and orientation activities for new employees.
  • Coordinating office supplies, vendor services, and facility-related requests.
  • Supporting project teams with document preparation, meeting coordination, and project record maintenance.
  • Assisting with company meetings, employee events, training sessions, and special projects.
  • Managing office calendars, contact databases, and distribution lists.
  • Supporting leadership and staff with administrative requests and other duties as assigned.
