About The Position

The Administrative Coordinator provides essential administrative support to the Warminster facility, contributing to the continuous improvement of HSSE performance (No Accidents, No Harm to People, No Damage to the Environment), customer service, and cost objectives. This role holds primary responsibility for payroll administration, manufacturing data tracking, reporting, accounts receivable/payable, office management, employee event planning, and general support for plant staff. The position also plays a key role in site security, crisis management support, and contractor oversight.

Requirements

  • High school diploma or equivalent (required)
  • Strong PC skills, including Excel, Word, Access, Outlook, and general office equipment
  • Ability to plan and communicate effectively (written and verbal) with plant personnel and support organizations
  • Strong organizational skills; systematic, results-oriented, and flexible in handling unplanned events
  • Ability to respond quickly and effectively in critical situations involving personnel issues
  • Strong reading comprehension, typing, and word-processing skills
  • Expertise in file management and document control

Nice To Haves

  • Associate degree (preferred)
  • Access database programming/management skills (preferred)
  • Data analysis skills to support research and metric improvement (preferred)
  • Contract negotiation skills for managing plant service and supply vendors (preferred)

Responsibilities

  • Manage plant payroll and vacation accounting
  • Perform accounts receivable and payable functions, including expense budgets, purchase orders, and invoice processing
  • Lead metric reporting for the plant, including MOR generation, with emphasis on financial reporting
  • Provide office support to plant personnel and maintain personnel records
  • Serve as reception and security point for plant visitors
  • Maintain emergency notification lists and phone systems
  • Manage plant files (accounts payable, capital expenditures, personnel, etc.) and office supply inventory
  • Oversee the office supply budget and associated accounts
  • Coordinate payment of HSSE awards and other special payments
  • Act as bp Contract Accountable Manager to ensure safe execution of contracted work, applying the Working with Contractor process
  • Support Crisis and Continuity Management activities for the site
