About The Position

The Administrative Assistant in our South Region serves as the primary receptionist and provides broad administrative and operational support to office staff. As an Administrative Assistant, you will play a vital role in maintaining efficient office operations, coordinating administrative tasks, and supporting various departments within the organization. We are looking for a professional with excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.

Requirements

  • High school diploma or equivalent required; associate’s degree or additional certification in office administration or a related field is a plus.
  • Proven experience as a receptionist, administrative assistant, or in a similar administrative role.
  • Experience with purchase card administration, expense coding, or accounting functions is highly preferred.
  • Prior experience in the construction or electrical contracting industry is preferred but not required.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Excellent organizational skills with the ability to multitask, prioritize, and meet deadlines.
  • Exceptional attention to detail and accuracy in data entry and financial recordkeeping.
  • Strong verbal and written communication skills with a professional, courteous demeanor.
  • Proactive, resourceful, and able to work independently and collaboratively within a team.
  • Ability to maintain confidentiality and exercise discretion at all times.
  • Ability to deal with a diverse group of individuals at all levels of management, both internally and externally.

Responsibilities

  • Answer and direct incoming office phone calls in a professional and courteous manner; serve as the first point of contact for visitors, clients, and vendors.
  • Receive and log incoming FedEx/Express deliveries and promptly notify the appropriate employee or department.
  • Administer and reconcile company purchase cards (p-cards) for the South region, ensuring receipts are collected and documented in accordance with company policy.
  • Code p-card transactions accurately to the appropriate cost codes, projects, and GL accounts in a timely manner.
  • Partner with accounting and project management to resolve p-card discrepancies and maintain compliance; prepare and submit monthly purchase card reports.
  • Provide general administrative support to office employees, including scheduling, document preparation, and correspondence.
  • Coordinate and schedule meetings, appointments, and travel arrangements for executives and team members.
  • Maintain and update company databases and records, ensuring accuracy and confidentiality.
  • Organize and maintain physical and electronic filing systems for easy document retrieval; manage document distribution, tracking, and archiving.
  • Assist team members with expense reporting, timesheet management, and other administrative needs.
  • Support logistics for meetings and company events, including scheduling, catering, and AV coordination.
  • Other duties as assigned.
