About The Position

You will provide high-level administrative and organizational support to the President, ensuring executive operations run smoothly and confidential matters are handled with discretion. You will interact with internal departments, external partners, and clients, and support meeting, travel, and budget coordination.

Requirements

  • High school diploma or equivalent required
  • Minimum of three (3) years of administrative or executive assistant experience, preferably supporting senior or executive-level leadership.
  • Advanced proficiency with office productivity tools, particularly spreadsheet skills (formulas, formatting, data organization).
  • Experience with project and task management tools.
  • Familiarity with virtual collaboration and communication tools.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated professionalism, discretion, and integrity when handling confidential matters.
  • High degree of initiative and ability to work independently with minimal supervision.

Nice To Haves

  • Associate or Bachelor’s degree preferred.
  • Prior experience supporting a President, CEO, or other senior executive.
  • Strong analytical and problem-solving abilities.
  • Professional demeanor and commitment to maintaining a polished corporate image.

Responsibilities

  • Manage scheduling, calendar coordination, and meeting logistics for the President.
  • Prepare, review, and edit correspondence, reports, presentations, and other business documents.
  • Handle incoming communications and inquiries, ensuring timely and appropriate responses.
  • Maintain organized electronic and physical filing systems and safeguard confidential records.
  • Coordinate travel arrangements, itineraries, and expense reporting.
  • Develop and maintain spreadsheets, reports, and analytical tools to support decision-making.
  • Use a project and task management tool to assist with project coordination, task tracking, and reporting.
  • Support preparation and tracking of departmental budgets, invoices, and purchase orders.
  • Coordinate logistics for meetings, conferences, and company events, including agendas and follow-up documentation.
  • Act as a liaison between the President and internal teams, external partners, and clients, exercising sound judgment.
